Managed IT Services

Managed IT services are a monthly contract in which an outside provider runs your help desk, monitoring, patching, backup and security, usually for one fee covering all users and devices. Published provider guides put managed IT at $100 to $250 per user per month 12, with licenses, hardware and projects billed separately.

Managed IT services
Managed IT services are the ongoing operation of a business's technology by an outside provider under a recurring contract, usually covering user support, device monitoring and patching, backup, security and IT planning for a fixed monthly fee.

What managed IT services include

Managed IT services include seven core service lines; a complete plan covers all of them, and a cheap plan quietly drops two or three. Use this list to check any proposal.

  1. Help desk. Staff call, email or open a ticket and a technician fixes the problem, usually remotely. Ask whether every user is covered or only named users, and whether there is a cap on tickets. Details on tiers are in our page on help desk outsourcing.
  2. Monitoring. An agent on each device reports disk failures, offline servers and full storage before staff notice.
  3. Patching. Operating system and application updates on a schedule, with reporting. CISA's small business guidance lists keeping systems patched among the first things to get right 6.
  4. Backup and recovery. Copies of servers, files and cloud data, with restores tested. CISA tells businesses to regularly test partial and full restores 6. See backup and disaster recovery.
  5. Security. At minimum endpoint protection, email filtering and multifactor authentication. Stronger plans add 24/7 managed detection and response and security awareness training.
  6. Vendor management. The provider deals with your internet carrier, phone system, printer company and software vendors, and manages Microsoft 365 support and licensing.
  7. Strategy. A quarterly or yearly review of risks, aging hardware and budget, sometimes sold as virtual CIO service.

Managed IT solutions differ most in items 5 and 7. Two quotes at the same price can carry very different security coverage.

Managed IT pricing models

Managed IT providers price per user, per device, in tiered packages or a la carte. Per user suits offices where each person has a laptop, phone and cloud accounts, though per-device pricing is just as widely offered 3.

  • Per user. One fee per person covers all their devices. Published provider guides put this at $100 to $250 per user per month 12. In Kaseya's 2023 survey of MSPs, $50 to $100 was the most common band (22% of MSPs) and 28% did not offer per-user pricing at all 3.
  • Per device. A fee per workstation, server and network device. Kaseya's 2023 survey found $50 to $100 per device per month was the most common band (28% of MSPs) 3. One 2026 provider guide lists $50 to $100 per workstation and $100 to $400 per server 2. Syncro's 2023 survey reported average prices of $151 per user and $99 per endpoint 4.
  • Tiered. Bronze, silver and gold packages. One 2026 provider guide lists basic plans at $100 to $125, standard at $150 to $200 and premium at $200 to $300 per user per month 7. The higher tiers usually add security monitoring, on-site time and planning.
  • A la carte. You buy single services, such as monitoring only or backup only. This suits companies that already have IT staff, a setup usually called co-managed IT.

Our managed IT services pricing page covers what moves a quote up or down, the in-house comparison and red flags in proposals.

What usually costs extra

Most managed IT fees exclude hardware, software licenses and projects, so budget for them separately. Typical extras:

  • Licenses. Microsoft 365 Business Premium lists at $22 per user per month on an annual plan 8. Some providers resell licenses inside their per-user fee; others bill them at cost.
  • Hardware. Laptops, servers, firewalls and Wi-Fi equipment, plus their installation.
  • Projects. Office moves, new locations, server replacements and cloud migration are normally quoted separately.
  • After-hours work. One 2026 provider guide lists after-hours incident fees of $150 to $350 per hour on top of the retainer 7.
  • Advanced security. A full security operations center, penetration tests and compliance documentation are often separate line items. See managed security services and penetration testing.
  • Old systems. Windows 10 support ended October 14, 2025; Extended Security Updates for businesses cost $61 per device in year one, doubling each year 9. Some providers charge more to support out-of-date machines, or will not cover them.

Contract terms to check before you sign

The contract decides more about your experience than the price does, so read five terms closely. One-year agreements are the term MSPs offer most often (60% of respondents in an MSP Success reader survey), followed by three-year (54%) and month-to-month (38%) 5. No published survey sets a standard notice period or response time, so compare what each provider commits to in writing.

  • Scope. A named list of users, devices, locations and services, plus the hourly rate for anything outside it.
  • Service levels. Response and resolution targets by priority, the hours they apply to, and any credit if they are missed.
  • Term and renewal. Whether the agreement renews automatically, how much notice you must give, and whether you can leave early if service levels are missed.
  • Price changes. Whether the provider can raise prices mid-term. Syncro's 2023 survey found 63% of MSPs had raised prices in the prior 12 months 4.
  • Exit and data return. A written commitment to hand over admin passwords, documentation, backups and license ownership within a set number of days when the contract ends.

Our guide on how to choose an MSP lists the questions that expose weak answers on each of these.

How to compare managed IT service providers

Compare providers on the same written scope, not on headline price. Send each one the same facts: number of users, devices, servers, locations, the software you rely on and any compliance rules you face. Then compare:

  • Coverage gaps. Line up each quote against the checklist above. Missing backup testing or after-hours security monitoring is a common reason one quote is cheaper.
  • Security depth. Ask which tools are used and who reviews alerts. Insurers expect controls such as MFA, endpoint detection and response, tested backups and incident response plans 10; our cyber insurance requirements page lists them.
  • Industry fit. Healthcare practices need a provider that will sign a business associate agreement and work within HIPAA compliance services; defense contractors need one that understands NIST SP 800-171 and CMMC. See our industry guides.
  • Onboarding plan. A good provider explains its onboarding in writing: documentation, cleanup of admin accounts, agent installs and security baseline.
  • References. Ask for two clients of similar size and industry, and call them.

When managed IT is not the right fit

Managed IT is a poor fit when the fixed fee costs more than the problems it prevents, or when you already have the people and only lack tools. Common cases:

  • Very small, cloud-only teams. A three-person firm with laptops and Microsoft 365 may be better served by a careful setup, MFA everywhere and an hourly provider, which published guides put at $75 to $250 per hour 1. Our small business IT page covers the minimum setup.
  • Companies with a capable IT team. Replacing staff who know your systems is rarely wise. Add tools and after-hours coverage through co-managed IT instead.
  • One-off needs. A single office move or migration is a project, not a reason to sign a three-year contract. An IT consulting engagement fits better.
  • Large organizations. Above a few hundred staff, an internal team with specialist outside help often costs less per user than a fully managed plan.

If you are unsure where you fall, compare the cost of one in-house hire, about $141,600 a year including benefits, based on BLS data 1112, against a per-user quote for your headcount.

Managed IT services by city

Where you are changes two things: what an in-house hire costs and which state rules apply. The median wage for a network and computer systems administrator is $99,130 nationally 11. Across the metros in our city guides, local medians range from $80,440 in the Pittsburgh metro to $119,390 in the New York metro and $133,360 in the San Jose metro (BLS May 2025 data via O*NET OnLine) 131415. State breach notification deadlines and privacy laws also differ.

Common questions

What do managed IT services include?

Managed IT services usually include help desk support, device monitoring, patching, backup, core security tools, vendor management and periodic planning. Hardware, software licenses and one-off projects are usually billed separately, so check the written scope.

How much do managed IT services cost?

Published provider guides put managed IT services at $100 to $250 per user per month, with security-heavy plans reaching $300 or more 12. Per-device pricing commonly runs $50 to $100 per workstation per month 23.

What is a managed IT service provider?

A managed IT service provider is a company that runs another business's technology for a recurring fee under a written agreement. It is often called an MSP; our guide to what an MSP is explains the terms.

What is the difference between managed IT and break-fix?

Managed IT is a flat monthly fee that includes prevention, monitoring and support, while break-fix is billed by the hour only when something goes wrong. Break-fix runs $75 to $250 per hour in published guides 1, which can be cheaper for very small offices and much more expensive during a bad month.

How long are managed IT contracts?

One year is the term MSPs offer most often, reported by 60% of respondents in an MSP Success reader survey, with three-year (54%) and month-to-month (38%) also common 5. Check auto-renewal and notice terms, since no standard notice period exists.

Do managed IT companies work with businesses that already have IT staff?

Yes. Many providers offer co-managed IT, where your staff keep control and the provider adds help desk overflow, monitoring tools, security and after-hours coverage.
