Virtual CIO (vCIO) Services

A virtual CIO is a part-time technology leader who owns your IT roadmap, budget and vendors, and published guides put the cost at $2,000 to $10,000 a month on retainer or $200 to $300 an hour 1. Some managed IT providers include vCIO meetings in their monthly plan 1.

Virtual CIO (vCIO)
A virtual CIO (vCIO) is an outsourced, part-time chief information officer who sets a company's technology strategy, budget and roadmap and manages its IT vendors, without the cost of a full-time executive.

What virtual CIO services cost

Virtual CIO services typically cost $2,000 to $10,000 a month on a flat retainer, or $200 to $300 an hour, according to published provider guides 1. A 2026 summary of published rates stretches the top of the monthly range to $15,000 and notes that no independent pricing dataset exists 2. One fractional executive marketplace says a fractional CIO retainer starts around $5,000 a month, with rates on its platform averaging $190 an hour 3.

What moves the price:

  • Time committed: a quarterly business review is a few hours a quarter; an embedded fractional CIO might be one or two days a week.
  • Scope: planning and budgeting only, or also running vendor negotiations, projects and board reporting.
  • Complexity: several offices, regulated data, a pending acquisition or a large software rollout.

Some specialized managed service providers include vCIO meetings in their managed IT plans 1. That bundled version is usually lighter: a quarterly review, a technology roadmap and a budget forecast, led by someone on the provider's team. Our managed IT pricing guide shows what per-user plans tend to include.

What a vCIO delivers

A good vCIO produces a short list of written outputs that you can hold them to. Ask for these by name:

  • A technology roadmap for 12 to 36 months, listing what gets replaced, upgraded or added, in what order and why.
  • An IT budget with one-time and recurring costs by quarter, so hardware refreshes and license renewals stop being surprises.
  • An asset and lifecycle list that flags systems nearing end of support. For example, Windows Server 2016 reaches the end of extended support in January 2027 6, and Windows 10 machines need paid Extended Security Updates at $61 per device in year one, doubling each year 7.
  • A vendor and contract register: every IT vendor, what you pay, renewal and notice dates, and who owns the relationship.
  • Quarterly business reviews that cover ticket trends, security status, project progress and spend against budget.
  • Policy and risk input: which security controls your insurer, customers and regulators expect, and a plan to close the gaps.

What a vCIO usually does not do is fix laptops or reset passwords. That is the help desk's job, whether in-house or through business IT support.

IT vendor management and IT procurement

Vendor management and procurement are where a vCIO often pays for itself, because small businesses tend to accumulate overlapping tools and auto-renewing contracts. The work covers:

  • Consolidating licenses. Many offices pay for a separate email filter, file sync or meeting tool that their Microsoft 365 plan already includes. Business Premium, for example, is $22 per user per month and includes security features that can replace some add-ons 8.
  • Right-sizing seats. Removing licenses for people who have left and moving light users to cheaper plans.
  • Running quotes. Writing a clear scope for internet, phones, hardware or a new MSP, collecting comparable proposals and checking the terms.
  • Watching renewal dates. Many contracts renew automatically unless notice is given by a set date, and the date varies by contract, so it belongs on a calendar.
  • Holding vendors to account. Reviewing service reports against what was promised and escalating when they fall short.

A point to check before you buy: if the vCIO comes from your MSP, they will be managing a vendor list that includes their own company. That can work well, but ask how they handle advice that would reduce their own fees. An independent vCIO or IT consultant avoids the conflict but costs extra.

vCIO vs full-time CIO vs fractional CIO

A vCIO costs a fraction of a full-time IT leader. The median annual wage for computer and information systems managers, the BLS category that covers IT directors and CIOs, was $175,140 in May 2025 4. Benefits make up 30% of private employer compensation costs 9, so by our calculation a manager at that median costs about $250,000 a year before recruiting and turnover. A $5,000 a month retainer is $60,000 a year.

The terms overlap in practice:

  • vCIO usually means strategic IT leadership delivered by an MSP or consulting firm, often a few hours a month, sometimes bundled.
  • Fractional CIO usually means a named senior individual, often a former CIO, working a set number of days for you, on a larger retainer 3.
  • Outsourced CIO is used for both.

A full-time CIO starts to make sense when technology is central to what you sell, when you run a large internal IT team, or when projects are continuous. Below that, many firms combine a managed IT provider for daily operations with a vCIO for planning. For the in-house vs outsourced trade-off at the support level, see our outsourced IT services guide.

vCIO vs vCISO: which one you need

A vCIO plans and budgets your technology as a whole; a vCISO owns your security program and the compliance evidence behind it. They overlap on security, but the vCISO goes deeper: risk assessments, written security policies, incident response planning, vendor security reviews and answering auditors and insurers.

Published vCISO retainers run about $1,500 to $4,000 a month for firms under 50 employees and $3,000 to $12,000 for 50 to 500 employees 5.

Choose based on what is driving the purchase:

  • Budget surprises, aging equipment, vendor sprawl, a move or an acquisition: start with a vCIO.
  • An insurer questionnaire, a customer security review, HIPAA, the FTC Safeguards Rule or CMMC: start with a vCISO. For defense contractors, see our CMMC compliance services guide.
  • Both: some providers offer a combined role for smaller firms. Ask how many hours go to security work each month and who signs off on policies.

A cybersecurity risk assessment is a useful first deliverable from either one.

How to choose a virtual CIO

Choose a vCIO on the quality of their written work and their independence, not on their title. Before signing:

  1. Ask for a sample roadmap and budget (with client names removed). If they cannot show one, the service may be a meeting with no output.
  2. Confirm who the vCIO is by name, their background, and how many clients they cover.
  3. Pin down the cadence: monthly or quarterly reviews, response time for questions, and how many hours are included.
  4. Ask how they handle recommendations that reduce spend with their own company if they are part of your MSP.
  5. Check what happens to your documentation, passwords and vendor list if you end the agreement.
  6. Agree on three measurable goals for the first year, such as a full asset list, a three-year budget and a renewal calendar.

Common questions

How much does a virtual CIO cost?

Published provider guides put vCIO services at $2,000 to $10,000 a month on retainer or $200 to $300 an hour 1. Some summaries put the top at $15,000 a month 2. Some MSPs include a lighter version in their managed IT plans 1.

What is a fractional CIO?

A fractional CIO is a senior technology executive who works part time for several companies, often a set number of days a month. One marketplace says fractional CIO retainers start around $5,000 a month 3. The term overlaps with vCIO, which more often describes a service delivered by an MSP or consulting firm.

What does a vCIO do?

A vCIO builds your technology roadmap and budget, manages IT vendors and contracts, tracks equipment that is reaching end of support, and runs regular business reviews. They advise leadership rather than fix day-to-day problems. Ask for each deliverable in writing.

Is a vCIO included with managed IT services?

It can be. Some MSPs include vCIO meetings in their managed IT plans 1. The bundled version is usually a quarterly review and roadmap, so ask how many hours it includes and who leads it.

What is IT vendor management?

IT vendor management is tracking every technology supplier you pay, what they deliver, what it costs and when contracts renew, and holding them to their commitments. It also includes running quotes and consolidating overlapping tools. A vCIO commonly handles it for smaller firms.

Do I need a vCIO or a vCISO?

Get a vCIO if your problems are budgets, aging equipment and vendors; get a vCISO if insurers, customers or regulators are asking about your security program. Published vCISO retainers run $1,500 to $4,000 a month for firms under 50 employees 5. Some providers combine the roles for small businesses.
