Three ways to staff IT for a 25-person Chicago office
| Approach | Math | Per year |
|---|---|---|
| Hire a systems administrator | $103,170 Chicago median / 0.70 (benefits are 30% of pay costs; our calculation) | About $147,400 |
| Hire a help desk technician | $60,730 Chicago median / 0.70 (our calculation) | About $86,800 |
| Co-managed IT (keep a staffer, add a provider) | 25 users x $45 to $175 x 12, one provider's estimate | $13,500 to $52,500 plus the staffer |
| Fully managed IT | 25 users x $100 to $250 x 12 | $30,000 to $75,000 |

The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Chicago-Naperville-Elgin, IL-IN: $103,170) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). This is our calculation. Licenses, hardware and projects are extra either way, and one person cannot cover every hour.

- Managed IT services
- Managed IT services are an arrangement in which a business pays an outside provider a recurring fee to run its help desk, monitor and patch its systems, manage backups and security, and plan technology changes.
Managed IT services in Chicago: what it costs
Expect most Chicago managed IT proposals to land between $100 and $250 per user per month, the range published pricing guides give for small and midsize businesses. Plans that bundle a full security stack can pass $300 12. Per-device pricing is the other common model, at $50 to $100 per workstation and $100 to $400 per server in one provider's 2026 guide 12.
The hiring math in Chicago runs close to the national picture. The metro median for a network and computer systems administrator was $103,170 in May 2025, and for a computer user support specialist $60,730 2. BLS puts benefits at 30% of private employer compensation 3, so a Chicago administrator costs about $147,400 a year with benefits, by our calculation. That is roughly two to five years of fully managed IT for a 25-person firm at published rates.
Break-fix support, paying by the hour only when something breaks, typically runs $75 to $250 per hour 1. It looks cheap until a server fails on a Friday. Our managed IT pricing breakdown shows what belongs in a flat fee.
Chicago's business base and the IT it needs
Cook County had 134,513 business establishments in 2023, with 26,152 employing 10 to 49 people and 6,950 employing 50 to 249 4. That middle band is where outsourced IT usually makes sense. The county also had 2,725 establishments in computer systems design and related services 4, so a business here has more local options than it can reasonably interview.
Three sectors drive most of the specialized demand:
- Health care. Four of the five largest employers in the Chicago area are in education and health services, led by Advocate Health and Northwestern Medicine 6. Clinics, therapy groups and billing services that share data with these systems need HIPAA-ready IT; see HIPAA compliance services.
- Logistics. Transportation and warehousing added 83,250 jobs in the area between 2010 and 2022, clustered near O'Hare, Midway and the I-55 corridor 6. Warehouses run scanners, shipping systems and badge or timeclock hardware that need dependable networks.
- Finance and insurance. JPMorgan Chase and Health Care Service Corp are the area's largest finance and insurance employers 6, and the trading, insurance and accounting firms around them often face client security questionnaires.
In the Chicago metropolitan division, trade, transportation and utilities employed about 741,600 people in August 2026 and manufacturing 287,000 (preliminary) 5.

BIPA is the Illinois law most likely to touch your IT setup. The Biometric Information Privacy Act requires a published retention and destruction schedule, written notice and a written release before you collect fingerprints, face geometry or similar data 8. People can sue for $1,000 per negligent violation or $5,000 per intentional or reckless one. Since August 2, 2024, repeated collection of the same identifier from the same person by the same method counts as one violation 8.
That matters because biometric timeclocks, door readers and face recognition devices can show up in warehouses, plants, clinics and gyms. Before a provider installs any of them, ask who keeps the consent records, where templates are stored and how they are deleted on schedule.
The breach law is shorter. Illinois requires notice to affected residents in the most expedient time possible and without unreasonable delay, and notice to the Attorney General if more than 500 residents are affected, no later than when residents hear 7. Illinois has no comprehensive consumer privacy law as of October 2026 9. Have counsel check how these rules apply to your devices and data.
Cybersecurity services in Chicago
Chicago firms should fund email and payment controls first. Illinois ranked fifth among states for FBI IC3 complaints, with 32,977 in 2025 and $535 million in reported losses 10. Payables staff who approve vendor payments are a favorite target of business email compromise, which cost about $3.05 billion in reported losses nationally in 2025 10.
A practical Chicago security baseline covers MFA everywhere, endpoint detection with a human reviewing alerts, email filtering and backups you have actually restored. Mainstream managed detection and response runs $8 to $25 per endpoint per month 11, and many providers fold it into a security tier of the managed IT plan.
For plants and warehouses, also ask about segmenting scanners, cameras and biometric devices off the office network. Our small business cybersecurity guide ranks controls by impact, and managed detection and response explains what you get for the per-endpoint fee.
IT consulting and co-managed IT in Chicago
Chicago firms with one or two IT staff usually do best with co-managed IT, not full outsourcing. Co-managed IT runs $45 to $175 per user per month in one provider's published estimate, rising as you add EDR, patching and a security operations center 13. Your staff keep the relationships and on-site work; the provider adds tools, after-hours coverage and a deeper bench. See co-managed IT for typical splits.
For one-off work, external IT consultants are published at $150 to $250 per hour 14. Common Chicago projects are warehouse Wi-Fi redesigns, BIPA-related device audits, office moves and Microsoft 365 tenant cleanups. Our IT consulting guide covers when a fixed-fee project beats hourly billing.
Picking a Chicago IT provider with on-site coverage
Match the provider's on-site reach to where your people actually work. A downtown office, a warehouse near O'Hare and a satellite site in the suburbs are three different service areas, and travel time is often billed. Ask:
- Which sites get on-site visits, and is travel included?
- Have you deployed or audited biometric devices under BIPA?
- How do you support plant floors or warehouses outside business hours?
- What happens to our documentation and admin accounts if we leave?
If you also run locations in Milwaukee, Indianapolis or Detroit, ask whether one provider can cover them all. Our MSP selection guide has the full checklist, and the managed IT services hub explains standard contract terms. Describe your sites in the form, and one local provider or advisory partner will email you within one business day.

Should a Chicago company choose managed or co-managed IT?
