Managed IT and Cybersecurity Help for Your Business

A managed service provider (MSP) runs your company's IT, including help desk, monitoring, patching, backup and security, for a monthly fee that published provider guides put at $100 to $250 per user per month 12. Clear IT Pricing explains what you need and connects you with a local IT provider or advisory partner at no cost to your business.

Managed service provider (MSP)
A managed service provider (MSP) is an outside company that runs some or all of a business's IT, such as help desk support, device monitoring, patching, backup and security, for a recurring monthly fee under a written agreement.

What an MSP does for your business

An MSP takes over the IT work an in-house IT person would do, for a flat monthly fee instead of a salary or an hourly bill. Many businesses with 10 to 250 employees and no IT staff use one, and the arrangement is often just called "IT support" or "IT services".

A typical managed IT agreement covers:

  • Help desk: a number and email your staff use when something stops working, with most fixes done through remote IT support.
  • Monitoring and patching: software on every computer and server that reports problems and installs updates on a schedule.
  • Network support: firewalls, Wi-Fi and switches, plus on-site IT support when something physical has to be replaced.
  • Backup and recovery: copies of your data that are tested so they can actually be restored.
  • Security: endpoint protection, email filtering, multifactor authentication (MFA) and, in stronger plans, 24/7 monitoring.
  • Vendor and license management: Microsoft 365 or Google Workspace, internet providers, printers and line-of-business software.
  • Planning: a yearly roadmap and budget, sometimes called virtual CIO service.

The key difference from break-fix support is the incentive. An hourly shop earns more when things break. An MSP earns the same fee either way, so it is paid to prevent problems. Our guide to what an MSP is covers the terms you will hear in a sales call, and our managed IT services guide breaks down each service line.

What managed IT costs

Published provider guides put fully managed IT at $100 to $250 per user per month, and plans with heavier security can reach $300 or more 12. Per-device pricing runs about $50 to $100 per workstation and $100 to $400 per server 2. These are ranges from provider guides, not a neutral survey; in Kaseya's 2023 MSP benchmark survey, $50 to $100 per user was the most common price band 10.

For comparison, hiring one network and computer systems administrator costs a median $99,130 in salary 4, or about $141,600 including benefits, based on BLS data 45. One person also cannot cover nights, vacations and sick days, and still needs to buy the same monitoring and security tools an MSP brings.

A 25-person office at $100 to $250 per user pays $30,000 to $75,000 a year for managed IT (our arithmetic from the ranges above). Licenses, new hardware and one-off projects are usually billed on top. Our managed IT services pricing page covers pricing models, what moves a quote up or down and contract red flags. If you have fewer than 20 people, start with IT for small businesses.

Signs you need an IT provider

You probably need outside IT help if technology problems are eating the time of people who were hired to do something else. Common signals:

  • The office manager or a partner is the de facto IT person.
  • Nobody can say when backups were last restored successfully.
  • Staff log in to email without MFA, or share passwords.
  • Your cyber insurer, a large customer or a regulator sent a security questionnaire you cannot answer.
  • You are adding staff or a second location and onboarding is slow.
  • Your only IT person is overloaded, or about to leave.

If you already employ IT staff, you do not have to replace them. Co-managed IT gives your team a help desk, tools and after-hours coverage while they keep control. If you want to hand off everything, compare options on our outsourced IT services page.

Managed IT is not always the answer. A three-person firm that works entirely in Microsoft 365 or Google Workspace may do fine with a careful setup, MFA on every account and an hourly provider on call.

How cybersecurity and compliance fit in

Security is now the core of IT support, not an add-on. The 2026 Verizon Data Breach Investigations Report found ransomware in 48% of breaches 7, and the FBI received 1,008,597 internet crime complaints in 2025 with $20.877 billion in reported losses 6. A Microsoft study found MFA reduces the risk of account compromise by 99.22% 8, which is why a good provider turns it on first.

Insurers ask for the same basics. Marsh lists twelve controls insurers look for, including MFA, endpoint detection and response, encrypted and tested backups, patching and incident response plans 9. Our cyber insurance requirements page explains how to answer an application without overstating your controls, and cybersecurity for small business covers the minimum setup. When you need around-the-clock monitoring, look at managed security services.

Some industries carry written rules:

  • Defense contractors: DoD paused CMMC in Phase 1 on July 13, 2026, so third-party Level 2 certification has no new start date 13. Self-assessment requirements stay in place, and DoD says it will enforce NIST SP 800-171 13. Start with our CMMC overview, and expect the schedule to change.
  • Healthcare: the HIPAA Security Rule applies today; a stricter update proposed in January 2025 is still not final 14. See HIPAA compliance services.
  • Other sectors: law, accounting, financial services, manufacturing and others have their own needs, covered in our industry guides.

Confirm your own obligations with counsel or your assessor. If you think an attack is happening right now, go to our incident response page first.

How Clear IT Pricing works

Clear IT Pricing is a free guidance and referral service: you send a short request, and a local IT provider or advisory partner contacts you by email within one business day. We do not install, manage, monitor or secure anything ourselves.

  1. You answer a few questions about your business, your systems and what prompted the search.
  2. We read the request and pass it to one provider or partner that serves your area and type of need.
  3. They contact you by email, or by phone if you gave a number, to discuss scope and pricing.

Sending a request costs your business nothing. Providers may pay Clear IT Pricing a referral fee, which is how the site is funded. You are under no obligation to hire anyone, and the guides on this site are written to help you judge any provider's quote, including one you found on your own. Details are on how it works.

How to choose an IT support company

Choose on scope, security and exit terms, not on the lowest monthly number. Before you sign, get these in writing:

  • Exactly which services, devices and hours the fee covers, and the hourly rate for anything outside it.
  • The security tools included by name, and whether someone watches alerts after hours.
  • How backups are tested and how often.
  • Response time targets by priority level, and what happens if they are missed.
  • Contract length, renewal and how you get your passwords, data and documentation back if you leave.

Our step-by-step guide on how to choose an MSP includes questions to ask and answers that should worry you. To see local wages, rules and industries where you are, start from the managed IT services city directory or our page on finding IT support near you.

Common questions

What does MSP stand for?

MSP stands for managed service provider. In IT, it means a company that runs another business's technology for a recurring fee, covering support, monitoring, maintenance and security under a written agreement.

What is the difference between IT support and managed IT services?

IT support is the broad term for fixing technology problems; managed IT services is one way to buy it, as a flat monthly fee that also covers prevention, monitoring and planning. Break-fix IT support bills by the hour, typically $75 to $250 per hour in published guides 1, and only when you call.

How much does an IT support company charge per month?

Published provider guides put managed IT at $100 to $250 per user per month 12. The final number depends on how many people and devices you have, how much security is included and whether on-site visits are part of the plan.

Can IT support be done remotely?

Yes, most day-to-day IT support is remote: a technician connects to the computer with the user's permission and fixes the problem. You still need someone who can come on site for network equipment, new hardware and problems that stop a computer from connecting at all.

Do managed service providers offer 24/7 IT support?

Many do, but 24/7 can mean different things. Some providers answer the phone around the clock for any issue, others only respond after hours to outages or security alerts, and some charge extra hourly rates for after-hours work. Ask for the coverage hours and after-hours rates in writing.

Does Clear IT Pricing provide IT services itself?

No. Clear IT Pricing publishes guides and passes requests to independent IT providers and advisory partners, who do the work and set their own prices. We are not an MSP, a security firm or a compliance assessor.

Is it free to send a request?

Yes, sending a request through the form costs your business nothing. Providers may pay Clear IT Pricing a referral fee, and you are not obligated to hire anyone who contacts you.
