Healthcare IT Services and Support

Healthcare IT services keep a medical practice's EHR, devices and network running while meeting the HIPAA Security Rule, and published provider guides put fully managed IT at $100 to $250 per user per month 12. The cost of skipping the basics is visible in OCR enforcement, including a $552,250 settlement in July 2026 after a ransomware breach in which OCR cited a failure to conduct an accurate and thorough risk analysis 3.

Healthcare IT services
Healthcare IT services are outsourced technology support for medical practices and clinics that covers help desk, EHR and device support, network and security management, backups, and the technical safeguards the HIPAA Security Rule requires for electronic protected health information.

What healthcare IT services include for a medical practice

Healthcare IT services cover the same help desk, patching and network work any office needs, plus the systems and rules that are specific to patient care. In a typical practice that means the EHR and practice management system, e-prescribing, patient portal, imaging and diagnostic devices, check-in kiosks, phones and fax, and the HIPAA paperwork that proves all of it is protected.

Pricing follows the general market: typical published ranges for fully managed IT are $100 to $250 per user per month, and plans that bundle security tools and compliance reporting can reach $300 or more 12. Older survey data ran lower: in Kaseya's 2023 benchmark the most common per-user band was $50 to $100, with 17% of providers at $101 to $150 and 11% at $151 to $200 9. Our managed IT pricing breakdown explains what moves the number.

What separates medical IT support from generic support is the second half of the job:

  • Keeping clinical systems available during patient hours, not just fixing them eventually.
  • Signing a business associate agreement and acting like a business associate.
  • Producing evidence for a risk analysis, an OCR inquiry or a cyber insurance application.
  • Knowing the vendors: many EHR, imaging and lab interfaces have their own support desks, and someone has to coordinate them.

EHR uptime and downtime planning

For most practices the single most important IT outcome is that providers can open the chart when the patient is in the room. A cloud EHR moves the server problem to the vendor, but it makes the clinic's internet connection, firewall and Wi-Fi the new single point of failure.

The HIPAA Security Rule already requires a contingency plan, including a data backup plan, a disaster recovery plan and an emergency mode operation plan 6. In practical terms, a medical IT support provider should set up:

  • A second internet connection from a different carrier, with automatic failover on the firewall.
  • Printed or offline downtime forms and a short procedure staff have rehearsed.
  • Encrypted backups of anything still stored locally (imaging archives, scanned documents, a legacy EHR database), kept off site.
  • Regular restore tests. CISA tells small organizations to regularly test both partial and full restores 10.

The proposed Security Rule update would go further and require written procedures to restore certain systems and data within 72 hours 7. Our backup and disaster recovery guide covers costs; published provider guides put managed backup with quarterly DR testing at $500 to $1,200 a month for a 20 to 50 person business 11.

HIPAA Security Rule duties your IT provider touches

The current Security Rule (45 CFR 164.302 to 164.318) sets administrative, physical and technical safeguards for electronic protected health information, and an outsourced IT provider carries out much of the technical work 6. Some implementation specifications are required and others are addressable, meaning the practice must assess whether each is reasonable and document an alternative if not 6.

The duties an IT provider usually executes for you:

  • Risk analysis support: inventorying systems that hold ePHI and identifying threats. OCR's director said in July 2026 that an accurate and thorough risk analysis is required by law 3.
  • Access control: unique user logins, automatic logoff, prompt removal of departed staff.
  • Audit controls: logs that show who accessed what.
  • Transmission and storage protection: encryption for laptops, email and backups.

The rule is also changing. HHS published a proposed update on January 6, 2025 12. It would remove the required versus addressable distinction and require MFA, encryption at rest and in transit, an asset inventory and network map, vulnerability scans every six months and penetration tests every 12 months 127. It is still a proposal: HHS says the current rule remains in effect, and the federal regulatory agenda targets final action for July 2027 1314. Treat the proposal as a roadmap, not a current legal deadline, and confirm your obligations with counsel. Our HIPAA compliance checklist lists the current requirements in order.

Business associate agreements with IT providers

An IT provider that can reach your patient data is a business associate, and the Security Rule requires a written contract (the BAA) that commits it to safeguard that data 6. Get it signed before the provider receives admin credentials, not after onboarding.

Read the BAA for three things:

  1. Breach reporting. A business associate must tell the covered entity about a breach without unreasonable delay and no later than 60 calendar days after discovery 5. Many practices ask for a much shorter window in the contract.
  2. Subcontractors. Your provider likely uses a backup vendor, a security operations center and a remote management tool. Ask how it passes the same obligations down.
  3. Return or destruction of data when the contract ends.

The proposed rule would also require business associates to verify their technical safeguards to covered entities at least once every 12 months 7. A provider that can already hand you a written summary of its own controls is in a better position than one that cannot. Dedicated HIPAA compliance services can review the BAA and your policies if your IT provider does not do compliance work.

Device and network segmentation in medical offices

A flat network, where the guest Wi-Fi, the ultrasound cart and the billing PC all talk to each other, is one of the most common gaps in medical office IT support. Network segmentation puts clinical devices, staff workstations, phones and guest access on separate networks with firewall rules between them, so one infected laptop cannot reach everything.

Segmentation is on the list of proposed Security Rule requirements, alongside anti-malware on all relevant systems and removing software that is not needed 7. It matters most for:

  • Imaging and diagnostic equipment that runs an older operating system the manufacturer will not let you update.
  • Windows 10 machines. Support ended October 14, 2025; Extended Security Updates cost $61 per device for the first year and the price doubles each year 15.
  • Remote access. At-Bay found 80% of ransomware attacks on its insureds came in through a remote access tool 16. Vendors who dial in to support a device should use MFA and time-limited access.

Insurers check these controls too. Marsh lists MFA, EDR, tested backups and protecting end-of-life systems among the controls insurers now treat as minimums 8. Our managed security services guide explains who monitors those controls day to day.

OCR breach and penalty data for healthcare

OCR's recent cases trace back to ordinary IT failures: a missing risk analysis, ransomware and phishing that worked. HIPAA Journal's analysis of OCR's breach portal counts more than 700 large breaches (500 or more people) in 2025, affecting about 138.5 million individuals 4.

Date Organization Amount What OCR cited
Jan 2025 Northeast Surgical Group $10,000 Ransomware investigation 17
Feb 2025 Warby Parker $1,500,000 civil money penalty Hacking-related Security Rule violations 17
Jul 2026 OSF Healthcare System $552,250 Ransomware; risk analysis failure; OCR's 21st ransomware action 3
Sep 2026 Ambry Genetics $700,000 Phishing affecting 225,000 people; risk analysis 18

Amounts range widely, from $10,000 to $1.5 million in the cases above, so being a smaller organization is no reason to assume OCR will not act 17. Breaches of 500 or more people must be reported to HHS within 60 days of discovery, and OCR investigates all of them 1920.

If an attack is happening now, call your cyber insurer's breach hotline if you have a policy, report it to the FBI at ic3.gov 21, and do not wipe or rebuild systems until evidence is preserved. Our incident response guide covers the first 48 hours.

What to ask a healthcare IT provider

The best way to compare healthcare IT support is to ask for evidence, not adjectives. Use these questions alongside our general guide to choosing an MSP:

  • Will you sign our BAA, or send yours, before onboarding? What is your breach notice window?
  • Which EHR, imaging and lab systems do you support today, and do you coordinate directly with those vendors?
  • Who performs our risk analysis, and what document do we receive?
  • How do you segment clinical devices, and how do outside vendors get remote access?
  • When did you last run a restore test for a client, and can we watch ours?
  • What is in the per-user price, and what is billed by the hour?
  • Do you cover after-hours support for practices with evening or weekend clinics?

Smaller practices can start from our cybersecurity for small business guide and the industries overview, and dental offices have their own dental IT support page.

Common questions

What is medical IT support?

Medical IT support is outsourced help desk, network, security and EHR support for clinics and practices, delivered under a business associate agreement. It adds HIPAA Security Rule work, such as risk analysis support, access control and audit logging, to ordinary IT tasks 6.

How much does IT support for medical practices cost?

Expect $100 to $250 per user per month for fully managed IT, based on providers' published pricing guides, with bundles that add more security tooling reaching $300 or more 12. Backup, compliance consulting and new hardware are often priced separately, so ask what the per-user figure includes.

Does my IT provider need to sign a BAA?

Yes, if it can create, receive, maintain or transmit ePHI for you, which almost every managed IT provider can. The Security Rule requires a written contract with business associates 6. Get it signed before any access is granted.

Is the new HIPAA Security Rule in effect?

No. The update was published as a proposed rule on January 6, 2025, and HHS says the current Security Rule remains in effect while rulemaking continues 1213. The federal agenda lists final action for July 2027, and dates like that often slip 14.

How is cybersecurity for healthcare different from other industries?

Healthcare adds federal rules, life-critical uptime and devices you cannot easily patch. A practice must document a risk analysis, control access to ePHI and notify patients of a breach no later than 60 days after discovery 65. OCR's two most recent cybersecurity settlements followed a ransomware attack and a phishing attack 318.

Do optometry, physical therapy and chiropractic clinics need the same IT safeguards?

If the clinic is a HIPAA covered entity, the same Security Rule applies regardless of specialty or size 6. Whether you are covered depends on how you bill and handle health information, so confirm it with counsel. The IT work scales down, but the risk analysis and BAA do not go away.

What should senior living and home health agencies look for in IT services?

They need the same HIPAA safeguards plus strong mobile device management, because staff chart on tablets and phones away from the office. Ask how lost devices are wiped, how MFA works for field staff, and how the provider handles remote access for caregivers.
