The in-house figure is the median salary for network and computer systems administrators (BLS OEWS May 2025 via O*NET OnLine, Philadelphia-Camden-Wilmington, PA-NJ-DE-MD: $100,460) divided by 0.70, because benefits are 30% of total compensation (BLS Employer Costs for Employee Compensation, June 2026). - Managed IT services
- Managed IT services are an outsourced support model in which a provider monitors, maintains and secures a business's computers, servers, network and cloud tools under a monthly agreement, rather than billing for each repair.
Managed IT services in Philadelphia: what to budget
Expect $100 to $250 per user per month for managed IT in Philadelphia, the range in published pricing guides 1. Security-heavy plans run $200 to $300 or more 2. A 25-person practice or office would spend $30,000 to $75,000 a year.
The local payroll alternative costs more. Systems administrators in the Philadelphia-Camden-Wilmington metro earned a median $100,460 in May 2025 3, close to the national $99,130 4. Once benefits are added at 30% of compensation costs 5, that is about $143,500 a year for one person, with no one to cover sick days.
Our managed IT pricing guide shows what usually sits inside the per-user price and what gets billed on top.
Philadelphia's health and education economy and its IT needs
Philadelphia's employer base is anchored by hospitals and universities. In August 2026 the metro had 748,200 education and health services jobs out of 3,127,900, nearly one in four 8. Penn and Penn Medicine, Jefferson Health and Children's Hospital of Philadelphia lead the employer list 9, and the area has more than 25 colleges and universities with about 147,400 students 9.
The large systems run their own IT. The opportunity for managed IT in Philadelphia is in the surrounding businesses: private practices, home health agencies, behavioral health providers, billing and coding firms, labs, charter schools and tutoring companies. Philadelphia County had 29,460 employer establishments in 2023, including 6,261 with 10 to 49 employees and 1,716 with 50 to 249 6.
What they need from IT support in Philadelphia:
- Health groups: encrypted laptops and email, access logs and a current HIPAA risk analysis. See our HIPAA compliance services guide.
- Schools and education vendors: student record controls and managed Chromebooks or tablets. See our IT for schools page.
- Finance and insurance firms, a 228,800-job sector here 8: tight identity controls and audit trails.
The county had only 296 establishments in computer systems design and related services 7, so many local businesses may be served by providers based in the suburbs or across the river.

Philadelphia businesses follow Pennsylvania's breach notification statute, which requires notifying affected residents without unreasonable delay and telling the Attorney General at the same time when more than 500 residents are notified 1011. A 2024 amendment, effective September 26, 2024, added a cost to some breaches 10. When a name is exposed together with a Social Security, bank account or driver's license number and more than 500 people are notified at once, the business must offer 12 months of free credit monitoring and one independent credit report 1022.
There is no comprehensive state consumer privacy law in force as of October 2026 12. For Philadelphia's health sector the stricter federal rule is HIPAA 13. It requires notice to affected individuals no later than 60 calendar days after discovering a breach, and media notice when more than 500 residents of a state are affected 13. Enforcement reaches small practices. OCR settled with a surgical group for $10,000 after a ransomware investigation in January 2025 14.
The HIPAA Security Rule update published in January 2025 is still only a proposed rule 15.
The state and federal rules can apply to the same incident. Suppose a Philadelphia billing company loses an unencrypted laptop holding names and Social Security numbers for 800 Pennsylvania patients. Under state law those residents must be notified and, because there are more than 500 of them, the Attorney General must be told at the same time 1011. Each of the 800 must also be offered 12 months of credit monitoring and a credit report 10. Because the firm handles the data for medical practices, HIPAA also requires it to tell each practice within 60 days of discovery 13. Encrypted laptops, first on the health group list above, are the control to have in place before a device goes missing. Confirm your obligations with counsel.
Pennsylvania recorded 31,154 FBI IC3 complaints in 2025, sixth among states, with about $537.8 million in reported losses 16.
Cybersecurity services in Philadelphia
Cybersecurity services for a Philadelphia practice or office should start with the controls that stop the most common attacks: MFA, email filtering, managed endpoint protection, tested backups and phishing training. Managed detection and response adds $8 to $25 per endpoint each month at typical published rates 19.
Health care groups should also budget for a documented risk analysis and annual review, since OCR keeps citing their absence in settlements 14. For organizations of 50 to 200 people, a part-time security lead may be cheaper than a hire; published vCISO retainers for that size run about $3,000 to $7,000 a month 20. Our cybersecurity for small business guide sets priorities by budget.
IT consulting and co-managed IT in Philadelphia
Universities and hospitals train a lot of IT staff, so many Philadelphia organizations already have one capable person in house. Co-managed IT keeps that person and adds a provider's tools, monitoring and bench. Scope drives the price: $45 to $175 per user a month in one provider's published estimate 18.
IT consulting in Philadelphia is usually billed by the hour for one-time projects such as an EHR integration, a Microsoft 365 migration or a new office network. Outside consultants charge $150 to $250 an hour in one 2026 migration guide 21. Read our IT consulting guide before scoping a project.
Choosing a managed service provider in Philadelphia
A Philadelphia provider should prove it can handle regulated data and still answer the phone fast. Ask:
- Will you sign a HIPAA business associate agreement?
- Have you prepared a risk analysis for a practice our size?
- What is included on site, and how far are your technicians from our office?
- What do we receive at contract end: credentials, network documentation and backups?
Our guide to choosing an MSP covers contract terms. Firms with offices in the region can compare our pages on managed IT in New Jersey, New York and Baltimore, or start at the managed IT services overview.
Common questions
How much do IT services cost in Philadelphia?
What does a managed service provider in Philadelphia do?
It runs your IT under a monthly contract: help desk, patching, monitoring, backups, Microsoft 365 administration and baseline security. Most work is remote. Projects and on-site visits may be billed separately, so check the scope.
Do Philadelphia medical practices need a HIPAA-ready IT provider?
Yes, if the provider will touch patient data, it acts as a business associate and should sign an agreement. It should also help with the HIPAA risk analysis, which OCR cites often in enforcement 14.
What are the breach notification rules in Pennsylvania?
How much does IT consulting cost in Philadelphia?
Expect $150 to $250 an hour for an outside consultant, based on a 2026 published guide 21. Many projects are quoted as a fixed fee once scope is clear. Ask for a written statement of work.
Is cybersecurity included in IT support in Philadelphia?
Basic protection usually is, but managed detection and response, advanced email security and compliance work are often add-ons. MDR typically runs $8 to $25 per endpoint per month 19.
